Drafts

The Drafts feature allows you to save an incomplete accomplishment entry and come back to finish it later. This is useful when you don’t have all the information needed to complete an entry right away but want to capture what you know so far.

A draft is an accomplishment entry that has been saved in an incomplete state. Unlike a regular save, saving as a draft bypasses most required field validation — you only need to have the Activity Date filled in. Drafts are stored separately from published accomplishments and do not appear in the main accomplishments listing, graphs, or reports until they are published.

  1. Click Enter Data on the Dashboard, or click New from the Accomplishments toolbar.
  2. Fill in at least the Activity Date (this is the only required field for a draft).
  3. Fill in any other fields you have information for.
  4. Click the dropdown arrow next to the Save button to reveal additional save options.
  5. Select Save as Draft from the dropdown menu.

The system will save your entry as a draft. You’ll see a confirmation message when the save is complete.

Note: If you attempt to save as a draft without an Activity Date, you’ll receive an error message. Please fill in the Activity Date before saving.

To view your drafts, click Drafts in the left navigation menu. This opens the dedicated Drafts list page.

The Drafts list displays the following columns:

You can sort by any column by clicking the column header. The list supports pagination with options for 25, 50, or 100 items per page.

The Drafts menu item in the left navigation bar displays a badge showing the number of drafts available to you. This count updates automatically when drafts are created, published, or deleted.

To complete a draft and publish it as a full accomplishment:

  1. Go to the Drafts list from the left navigation menu.
  2. Double-click the draft you want to edit (or select it and click Edit).
  3. The accomplishment form will open with all previously saved data pre-filled.
  4. Complete any remaining required fields and make any needed changes.
  5. Click Save (or Save and Close) — do not select “Save as Draft” this time.

When you use the regular Save option (instead of “Save as Draft”), the system validates all required fields. Once saved successfully, the entry is published as a regular accomplishment:

  • It disappears from the Drafts list
  • It appears in the main Accomplishments listing
  • It becomes available for graphs, filters, and reports

Tip: You can also save your changes and keep the entry as a draft by choosing Save as Draft again. This is useful if you’ve made progress but still aren’t ready to publish.

  1. Go to the Drafts list.
  2. Select the draft you want to delete by clicking on it once.
  3. Click Delete from the toolbar or context menu.
  4. Confirm the deletion when prompted.

  2. Use the checkboxes to select multiple drafts.
  3. Click Delete from the toolbar.
  4. Confirm the deletion when prompted. The confirmation will show how many drafts will be deleted.

Warning: Deleting a draft is permanent and cannot be undone.

By default, users can only see their own drafts — entries they personally created.

The View All Drafts permission allows designated users to see and manage drafts created by all users in the CCB. This is useful for supervisors or administrators who need to review incomplete entries or help team members finish their documentation.

  • Site Admins and other administrative roles automatically see all drafts
  • Users with the View All Drafts permission see all drafts for their CCB site
  • Regular members see only the drafts they created themselves

To request the View All Drafts permission, contact your Site Admin.

Note: The View All Drafts permission is a supplementary role that only affects draft visibility. It does not grant access to other administrative features.
